How Nexusgrowthsolution collects, uses and protects your personal information.

1. Who we are

Nexusgrowthsolution provides website design, advertising, lead generation, CRM set-up, automated follow-up and related marketing services to trades, construction and home-improvement businesses in the United Kingdom.

Nexusgrowthsolution is the data controller for personal information where we decide how and why that information is used. Where we handle information on behalf of a client, we act as a processor for that client and their own privacy policy will also apply.

2. Information we collect

We may collect personal information through:

  • Meta and Facebook Instant Forms
  • The Nexusgrowthsolution website
  • Contact forms
  • Strategy-call and calendar bookings
  • Email, telephone, SMS and other communications
  • CRM records
  • Website analytics, cookies and advertising technologies, where these are in use

The information involved may include:

  • Full name
  • Business name
  • Email address
  • Telephone number
  • Trade or type of work
  • Current lead sources
  • Services you are interested in
  • Growth plans and timescales
  • Appointment details
  • Messages and correspondence
  • IP address, browser, device and usage information
  • Marketing preferences

We do not intentionally request special-category personal data (such as health, religious or political information) through our lead forms. Please do not include such information in free-text fields.

3. How information is collected

We collect information directly from you when you:

  • Submit a Meta Instant Form
  • Book a strategy call
  • Complete a form on our website
  • Contact us by email, telephone or SMS
  • Become a client and work with us

Where cookies, analytics or advertising tools are in use on our website, some information — such as IP address, device and browsing activity — may also be collected automatically. Non-essential tools are only used where we have obtained consent, if consent is required.

A. Service and enquiry communications

These are the messages we need to send to respond to your enquiry, arrange or confirm a call, or provide information you have asked for. They form part of dealing with your request.

B. Direct marketing

These are promotional emails or SMS messages sent beyond your immediate enquiry or service relationship. Submitting a form does not give us unlimited permission to market to you in future. Marketing is only sent where we are legally permitted to do so, and you can opt out at any time.

5. Lawful bases

Under the UK GDPR we rely on one or more of the following lawful bases:

  • Consent — where you have actively agreed, for example to marketing emails or non-essential cookies. You may withdraw consent at any time.
  • Steps taken at your request before entering into a contract — for example responding to your enquiry, arranging a strategy call or preparing a proposal.
  • Performance of a contract — delivering the services we have agreed with you and managing our client relationship.
  • Legitimate interests — running and improving our business, keeping records of enquiries, protecting our systems and, where appropriate, contacting business contacts about relevant services. We balance this against your rights and you can object at any time.
  • Legal obligation — meeting tax, accounting, regulatory and other legal requirements.

In general: enquiry handling relies on pre-contract steps or legitimate interests; service delivery relies on contract; record keeping relies on legal obligation and legitimate interests; analytics and advertising cookies rely on consent; and electronic marketing relies on consent or the soft opt-in exception under the Privacy and Electronic Communications Regulations.

6. Email, SMS and telephone communications

If you submit an enquiry or book a call, we may contact you by telephone, email or SMS in order to respond, arrange the call or provide the information you asked for.

Promotional electronic marketing is only sent where it is legally permitted — for example where you have given valid consent, or where another lawful exception applies.

You can opt out of marketing at any time by:

  • Replying STOP to an SMS, where that is supported
  • Using the unsubscribe link in a marketing email

Or by emailing josh.newton@nexusgrowthsolution.co.uk. Opting out of marketing does not stop necessary service or appointment communications relating to work we are doing for you.

7. Automated follow-up and profiling

We use CRM and automation tools to:

  • Send immediate responses to new enquiries
  • Send appointment reminders
  • Organise and route enquiries
  • Record lead stages and progress
  • Follow up with people who requested information

These systems may use your form answers to prioritise or organise enquiries. We do not make fully automated decisions that produce legal effects or similarly significant effects for you. Final sales and client-acceptance decisions are always made by a person.

8. Who information may be shared with

Your information may be processed by trusted service providers acting on our behalf, and by others where relevant, including:

  • Meta Platforms (Facebook and Instagram) for advertising and lead forms
  • GoHighLevel and LeadConnector for CRM and automation
  • Calendar and appointment-booking services
  • Email and SMS providers
  • Website hosting and domain providers
  • Analytics and advertising providers, where in use
  • Payment processors, if payments are taken
  • Professional advisers such as accountants or legal advisers
  • Regulators or law-enforcement bodies where we are legally required to disclose information

We do not sell personal information to data brokers or unrelated third parties. We cannot say that information is never shared, because the providers above may process it on our behalf under appropriate contractual terms.

9. International data transfers

Some of the technology providers we use may process personal information outside the United Kingdom. Where that happens, we take reasonable steps to ensure appropriate safeguards are in place, such as UK approved contractual protections (including the International Data Transfer Agreement or Addendum) or reliance on adequacy arrangements where applicable.

10. Data retention

We keep personal information only for as long as reasonably necessary for the purposes described in this policy. As a general guide:

  • Unsuccessful or inactive enquiries: generally up to 24 months
  • Active clients and contractual records: for the duration of the relationship and normally up to 6 years afterwards where required for legal, tax or accounting purposes
  • Marketing preferences and suppression records: retained as long as necessary to respect opt-out requests
  • Analytics data: in line with the configured retention periods of the relevant provider

When information is no longer needed, it is deleted or securely archived.

11. Data security

We take reasonable technical and organisational measures to protect personal information, including:

  • Restricting access to those who need it
  • Strong passwords and account security controls
  • Using reputable service providers
  • Secure systems and encrypted connections where available
  • Confidentiality expectations for staff or contractors where applicable
  • Reviewing access periodically

No method of transmission or storage is completely secure, so we cannot guarantee absolute security of information sent to us.

12. Your rights

Depending on the circumstances, you may have the right to:

  • Have inaccurate information corrected
  • Request erasure of your information

Our website may use:

Non-essential cookies and tracking technologies are not activated until appropriate consent has been obtained, where consent is legally required. Our services are intended for business users and adults. They are not directed at children and we do not knowingly collect personal information from children.
